CRM for clinics: what it solves and what to look for

By Last reviewed

Short answer

A CRM for clinics runs the front-office and patient relationship side: appointment requests coming in through WhatsApp, Instagram, phone or your website, the calendar, appointment reminders, treatment-plan follow-up and recall. Look for a multichannel inbox, online booking, automatic reminders, Google reviews and per-user permissions. Clinical information belongs in your EHR or practice management system, not in a sales CRM.

In a lot of practices, nobody really owns the front-office sales work. The front desk picks up the phone, someone answers Instagram when there's a minute, the practice WhatsApp lives on a phone that gets passed around, and treatment plans sit in a folder waiting for the patient to call back. A CRM brings order to that part of the business without touching the clinical record.

This page covers what a CRM solves for a clinic (dental, physical therapy, med spa, veterinary or specialty), what the pipeline can look like, which automations to build first, and how to handle patient data carefully.

Common pain points

  • Inquiries scattered across channels. A patient sends an Instagram DM, calls the next day and texts on Saturday. Different people answer each channel and nobody sees the full history.
  • No-shows and late cancellations. The slot goes empty because the patient forgot or had no easy way to reschedule.
  • Treatment plans with no follow-up. Plans get presented and never mentioned again because nobody has a reminder.
  • Patients who don't come back. Recall visits, cleanings and check-ups depend on the patient remembering.
  • Reputation left to chance. Happy patients rarely leave a review unless someone asks.

A sample pipeline for clinics

A clinic pipeline doesn't end at the first visit, because much of the value is in the treatment plan that follows. A simple version:

  1. New inquiry: a message, call or form came in.
  2. In conversation: someone on the team replied and is answering questions.
  3. Appointment booked: date and time on the calendar, reminders on.
  4. Showed up: the visit happened.
  5. Treatment plan presented: the estimate was handed over.
  6. Plan accepted or Didn't move forward (with the reason noted).

Automations worth setting up

Start with a few and test them well. These are usually first:

  • Instant reply to new inquiries. The patient gets a message confirming you received the request, with a booking link, and the front desk gets a notification.
  • Confirmations and reminders. A confirmation at booking, a reminder the day before and another shortly before the appointment, with an option to reschedule.
  • No-show recovery. When a visit is marked as a no-show, the patient gets a friendly message to pick a new time.
  • Treatment-plan follow-up. A few days after presenting the plan, a check-in message; if there's still no reply, a task is created for someone to call. The sequence stops as soon as the patient responds.
  • Google review request. After the visit, a short request with a direct review link.
  • Recall. Patients who haven't booked in a while get an invitation for their next check-up.

More examples, with triggers and stop conditions, are in essential automation workflows.

Handling health data carefully

This is where clinics most often slip. Health information is treated as especially sensitive by privacy laws in many places. If you serve patients in the European Union, the GDPR, Article 9 lists data concerning health as a special category of personal data. In the US, HIPAA and state laws may apply depending on your practice, so check with your compliance advisor.

The practical rule is simple: keep clinical information out of your sales CRM. Diagnoses, symptoms, medications, test results and clinical notes belong in your clinical system. In the CRM, keep what you need for the relationship: name, contact details, lead source, consent, service of interest and booking status.

A few more habits:

  • Use neutral fields and tags ("interest: orthodontics" is not the same as describing the patient's condition).
  • Ask the team not to type clinical details into conversation notes, and agree on reply templates that move those questions to the appointment.
  • Give each person only the permissions they need.
  • Record consent for marketing messages and always include an easy way to opt out.
  • If you use AI agents, instruct them not to ask for or record health information and to hand the conversation to a person when the topic turns clinical.

Checklist for choosing a clinic CRM

  • Does it bring WhatsApp, Instagram, Facebook, SMS and email into one inbox?
  • Does it have online booking and automatic reminders?
  • Can patients reschedule without a phone call?
  • Does it request Google reviews automatically?
  • Can you set permissions for front desk, treatment coordinators and management?
  • Does it show where patients come from and how many end up booking?
  • Does it work on a phone for staff who aren't at a desk?
  • Does it support multiple locations if you need them?
  • Will the vendor sign a data processing agreement that fits your obligations?

Elooo CRM covers these points in one platform, with unlimited users on every plan, which helps when the front desk, assistants and management all need access. For the bigger picture before you decide, read the complete CRM guide for small businesses.

Frequently asked questions

Does a CRM replace my EHR or practice management software?

No. Your clinical system holds charts, diagnoses and treatment records. The CRM handles the relationship side: inquiries, bookings, reminders, treatment-plan follow-up and recall. They work side by side.

Can I store health information in the CRM?

We don't recommend it. Keep only what you need to contact and schedule the patient. If your practice is subject to HIPAA or state health privacy laws, talk to your compliance advisor before putting any patient health information in a marketing or sales tool.

Can appointment reminders go out by text or WhatsApp?

Yes. In Elooo CRM the calendar sends confirmations and reminders by SMS, email or WhatsApp. WhatsApp via QR code is included in every plan.

How do I ask patients for Google reviews?

With an automation that sends a short message with your review link after the visit. Google reviews and reputation tools are included from the Premium plan up.

I run several locations. Can I keep them separate?

Yes. The Enterprise plan includes multiple sub-accounts and locations, so each office has its own calendar, team and pipeline.
